Position reports to: Project Controls / Services Manager
Primary objective
- Provide Document Control services to projects. Coordinate a team of Document Controllers, with a range of skills and capability to deliver project targets. Manage the development of junior staff
- Responsible for supervision & management of the Document Control team
Specific accountabilities
- Project Set-Up – Ensure Document Control systems & processes meet project requirements
- Document Control services - coordinate document control resources
- Provide reports internally within Project Team and externally to Client
- Interface Management - facilitating communication with Project Managers, Project Controllers, Engineers, Procurement & Construction personnel
- Responsible for Document Control reporting internally within Project Team and externally to Client
- Expediting internally with Engineering & externally with Client
- Quality Control (ensuring project documentation is controlled, monitored, and recorded according to Project Services standards / specifications; conduct timely Document Control audits on project level and Implement continuous improvement activities)
- Trouble-shooting (Liaise with field / client and other parties in the resolution of document control issues)
- Records Management (Archiving, Record Retention – hard copy & softcopy )
- Drawing / Document Numbering Management
- Transfer skills, knowledge and abilities to all the other Document Control staff
- Provide management level support for development of the Document Control team and its members
- Quality Assurance – Ensure Document Control is performed in line with WorleyParsons corporate guidelines & procedures
Essential skills/experience
- Minimum 5 yrs experience in Lead / Senior Document Control position in relevant company or industry
- Expert in the basic Document Control skills. (Maintaining master project deliverables / document register, issuing technical documents via transmittal, receiving project documents and managing distribution, tracking receipt of documents internally & from clients / third parties, expediting return)
- Knowledge of Electronic Document Management Systems (EDMS) eg. Encompass, Bluebeam etc., used to electronically manage the revision and issuance of master facility documentation
- Good English communication skill with different location (SHA, Europe office) and interface management
- Strong people management skills. Able to lead a team and develop the skills of Junior staff
